How IMPACT, Newgen’s Proofing and Editing Platform, Streamlined Interactions Between Authors, Production Editors, and Proof Collators

The Challenge
The client wanted to move away from traditional proofing process that involved marking corrections on PDFs, which required manual validation by production editors and correction
implementation by typesetters. This shift aimed to streamline and digitalize the proofing process for greater efficiency. However, challenges arose, including configuring a non-public Document Type Definition (DTD) and resistance from production editors accustomed to the traditional PDF workflow.
The Solution
To address these issues, Newgen developed the IMPACT Online Proofing Solution, creating a sandbox environment for stakeholders to review and provide feedback. A master XML sample was developed to ensure smooth integration with various content types, and extensive pilot testing was conducted across user roles. Additionally, Newgen provided targeted training to production editors, demonstrating the system’s efficiency and easing the transition.
IMPACT is designed to be intuitive and user-friendly, an ideal tool for authors who typically use the system only once. Its key features include:

  • XML Integration: Seamlessly imports XML content from the pagination system, allowing authors to edit without compromising document structure, with easy XML export upon
    completion.
  • Feature rich: A centralized landing page for tools, a correction PDF viewer, a robust editing tab, and guided tours for new users.
  • Efficient Tools: Accurate proof view, real-time synchronization of changes, direct text corrections, tracked amendments, and efficient navigation for queries.
  • Advanced Editing Options: PDF proof generation for archival purposes, easy citation and references editing, and additional layers for comprehensive reviews, including the ability to hide track changes and insert comments.
    Outcomes
    IMPACT has been operational for over 1.5 years, achieving consistent performance with an author satisfaction score above 80%. Between 40% – 60% of authors actively provided feedback, contributing to ongoing system improvements. This successful transition from traditional PDF proofing to the digital IMPACT platform has streamlined the publication workflow, benefiting all stakeholders involved.
